HSE Policy Statement

Gemona West adopts leading practices to ensure the safety and health of employees, contractors
and members of the community, and promote efforts to protect the environment on a continuous
basis. Also, our company is committed to ethical and responsible manner is committed to the
priorities of the following:

    Management System is a health, safety and the environment in the company's infrastructure for the
    management of risks to health and safety and the environment and their effects associated with our
    business. The system helps manage health, safety and the environment:

    • Identify the risks and aspects of health and safety and the environment.
    • Assess and classify the risks associated with our operations and activities .
    • Monitor the effectiveness of the processes and identify areas to be improved continuously.

    Process Safety

    In the context of safety management processes, we aspire to achieve excellence in the effective
    implementation of the risk management process in order to make sure that our facilities have been
    designed and operated in a manner reduces the risk of our activities on our people and our
    communities and our environment and our property and our reputation as much as you can in

    Risk Assessments and Common Risks

    A Risk Assessment is widely recognized as the most effective way of documenting, assessing and
    controlling risks and under health and safety legislation is an absolute legal requirement. Completing
    a risk assessment does not mean that you are guaranteeing that there will not be any accidents on
    your stand, simply that by taking the time to think through your actions in advance and on an
    ongoing basis, you will be able to reduce the risk of an accident happening or the severity of the
    accident if it does.

    Risk Assessment

    A Risk Assessment must be undertaken to identify any “significant” risks, prior to the exhibition,
    identifying the hazards present onsite and ways in which you will minimize and control those
    hazards. A Risk Assessment should address the following:

    Step 1: Look for the hazards
    Step 2 Decide who could be harmed and how
    Step 3 Evaluate the risks
    Step 4 Record the findings
    Step 5 Review findings

    Note 1 – list the hazards:

    A hazard is anything that has the potential to cause harms i.e. a workman or member of staff falling
    from a ladder, dropping tools, moving large and heavy loads etc.

    Note 2 – who could be harmed?

    In this section we must include everyone who could be injured as a result of such activities, i.e. the
    workman, others, porters moving furniture, visitors etc, etc.

    Note 3 – how likely is it to happen?

    our actual assessment of the risks, which should take into account the likelihood of the risk occurring
    and the severity of its outcome. If a Risk is considered highly likely to occur with severe
    consequences, the activity causing the risk must not be undertaken (as it is too dangerous), an
    alternative method of completing the task must be considered. Risks with mid severity and
    likelihood will need control measures to reduce the risk.

    Note 4 – what control measures need to be implemented?

    Record what steps we have taken to ensure nothing dangerous occurs. Our entry may read
    something like “Use of trained and qualified staff only, rope and post area to restrict area, ensure
    staff trained in manual handling etc” (These examples are guidelines only).

    Note 5 – notify our findings to all relevant people!

    We are legally responsible for any person working for us and their actions, or inactions. we ensure
    that any contractors you use are competent and will work in a safe manner, by requesting copies of
    their documentation such as risk assessments, method statements, health and safety policy,
    insurance documents, reference letters, accident statistics etc.

Quality Assurance/Quality Control Policy

Our policy is to provide Interior architectural services exemplifying best practice, both meeting and exceeding our clients’ expectations

At Gemona West Interiors we believe that quality management and control is intrinsic to realising successful Interior Architecture that satisfies the client, end user and general public.

Our approach to design ensures that everything is questioned and therefore, intrinsically quality
checked. Failures can all too often derive from an assumed familiarity with solutions to technical
problems, to the point where questioning and checking may be overlooked. This design approach is
steered within a forum to sharpen and focus ideas. Our quality control systems run in parallel with
this entire design process.

From inception to completion, the development of the scheme being documented at all stages to
provide an ongoing record and guide to full realization of the project. As the production of
information stages progress, they are assessed for purpose and checked by the design team leader.
The final issue of all drawing and written information is preceded by rigorous inspection by the
design team leader and crosschecked within the design team and sub-consultants before issue.

A comprehensive IT structure covers CAD drawing production, presentation ability and
administration support. Standardized working procedures and technical input complete an efficient
project delivery.

Quality Plan Narrative

The preparation of the Project Quality Plan will be the responsibility of the Project Manager and will
be executed during mobilization. Reviews and updates will take place within each three-month
period. The initial and subsequent issues of the Project Quality will be subject for review and
approval by the Lead Architect/Designer and Commercial Manager.

The technical requirements of the contract will be communicated to personnel

i) Selective but effective issue of the specification and drawings.
ii) Selective but effective issue of the project quality plan.
iii) Frequent staff meetings and briefings especially for technically demanding operations.

Quality Control Plans (QCPs) will be prepared for activities which require such control under the
specification, or where in the opinion of management, Quality would be adversely affected by the
absence of such control.

QCPs will be prepared for relevant subcontractor activities and will ensure the testing and
monitoring of their activities by witness and inspection.

Quality and Practice Objectives

The practice quality objectives are integral with the wider practice objectives and available for all
staff to view at their workstation via the Practice Internet.

Quality Management System

Many of our systems and procedures have been standardized to ensure consistency, accuracy, the
benefit of experience, and efficiency. This enables more time to be devoted to the unique aspects
that occur on every project, thereby reducing risk and improving the service.

To internally review and develop the QA system, Gemona West appointed a member of staff to work
with each department and vendors. The QA team recently reviewed some of the procedures,
utilising office meetings to gain feedback from architects and administrators throughout the

We believe that involving all staff in the development of standardized processes will enable us to
develop a quality assurance system that assists and enables our designers and architects, rather than
obstruct them.

The management systems that underpin Gemona West accreditation are defined on an intranet
system that is available on each member of staff’s workstation. This is an actively managed resource
which is upgraded by a process of continual improvement controlled by annual review

We will review this policy when necessary to ensure its continued suitability.
